If you are planning to import green coffee beans from Indonesia — for example Gayo arabica from Aceh — this guide explains the basic steps and documents involved.
1. Agree on the Incoterm
Indonesian exporters commonly quote FOB (Free On Board): the seller delivers the coffee loaded on the vessel at the port of loading, and the buyer pays ocean freight and insurance from there. Coffee from Aceh is often shipped via Belawan port in Medan. Other terms such as CFR or CIF can be negotiated.
2. Approve samples
- Offer sample — to decide whether to buy.
- Pre-shipment sample (PSS) — taken from the lot to be shipped; approve it before loading.
3. Packaging and volume
Green coffee is usually packed in 60 kg jute bags, often with hermetic liners to protect moisture and freshness. A 20-foot container typically carries around 19–21 tonnes of green coffee depending on bagging and loading method.
4. Export documents
- Commercial invoice and packing list
- Bill of lading
- Phytosanitary certificate
- Certificate of origin
- Organic certificate and transaction documents, if buying certified organic coffee
Check your own country's import rules as well. For example, the EU Deforestation Regulation (EUDR) requires plot-level traceability for coffee placed on the EU market, applying to most companies from 30 December 2026.
5. Payment terms
Common arrangements include a deposit with the balance against shipping documents, or payment via letter of credit for larger contracts. Agree everything in a written contract.
6. Plan around the harvest
Fresh-crop coffee is available after harvest and processing; contract early if you need a specific process or volume.
